What personal information will be collected?

When you use this website to make a donation, submit a story, create a fundraising page or undertake another activity, you may be asked to provide a variety of personal information details to enable this to be processed. These can consist of information such as your name, email address, postal address, telephone or mobile number, bank account details to process donations and whether or not you are a tax payer so that we can claim Gift Aid.

By submitting these details, you enable Oxford Health Charity to process your request and manage the donations or funds raised relating to you.

We would not general collect any sensitive personal data through the website.  However, if this is required for one of our fundraising events – for example, health information prior to a skydive or similar activity – this will be collected and held under the organisation running that event.  You should be certain of their data management process prior to providing this information as this out of the control of the Charity.  

If you are browsing our website as an anonymous visitor information, such as your IP addresses may still be collected for monitoring purposes.

How will Oxford Health Charity use information collected?

Oxford Health Charity will use your personal information for a number of purposes including the following:

  • in correspondence
  • for administration purposes, for example relating to donations, gift aid or events
  • for internal records
  • to contact you about any content provided for our stories, events or fundraising pages
  • to invite you to participate in surveys
  • for marketing purposes, if consent has been given
  • to provide you with information about our activities, if consent has been given
  • to use IP addresses to identify the location of users, to block disruptive use and monitor engagement levels with the charity
  • to analyse and further develop the website

Will I be contacted for marketing purposes?

You will only be contacted for marketing purposes where you have provided us with freely given consent to do so.

How long will my personal information be held?

We will hold your personal information on our systems for as long as is necessary for the relevant activity, for example we will keep a record of donations for at least seven years.

If you request that we cease communicating, your details will be removed from the mailing side of our system but may be held to show past activity if relevant.

Legacy income data provided at the time and leading up to the legacy giving may need to be held indefinitely, to carry out legacy administration and communicate effectively with the families of people leaving us legacies. This also enables us to identify and analyse the source of legacy income we receive.

Where you contribute material to us, e.g. user generated content or in response to a particular campaign we will generally only keep your content for as long as is reasonably required for the purpose(s) for which it was submitted unless otherwise stated.

How is your personal information held, how can it be updated and will it be shared with anyone else?

The accuracy of your information is really important to us and we only want to communicate with you in the ways in which you have requested. If you wish to change how we communicate with you, or update the information we hold, then please contact us:

We will only use your information within Oxford Health Charity for the purposes for which it was obtained. We will not share or sell your personal data with any third party for marketing purposes and you will not receive offers from other companies or organisations as a result of giving your details to us.

Your data may also be available to our website provider to enable us and them to deliver their service to us, carry out analysis and research on demographics, interests and behaviour of our users and supporters to help us gain a better understanding of them to enable us to improve our services.  This may include connecting data we receive from you on the website to data available from other sources.  Your personally identifiable data will only be used where it is necessary for the analysis required, and where your interests for privacy are not deemed to outweigh their legitimate interests in developing new services for us.  In the case of this activity the following will apply:

  2. The data that may be available to them include any of the data we collect as described in this privacy policy.
  3. Our website provider will not transfer your data to any other third party, or transfer your data outside of the EEA.
  4. They will store your data for a maximum of 7 years.
